Short answer

Landlords ask ChatGPT, Gemini and Google AI questions like "best property manager in Chicago for a single-family home". The AI answer names a short list of companies and links a few sources. The engines pick names from manager websites, review sites such as Yelp, and directories such as Expertise.com and Thumbtack. A manager gets on that list with clear landlord pages, real reviews, complete directory profiles and the same name and address everywhere.

## Do landlords use AI to find a property manager?

Choosing a property manager with AI is asking ChatGPT, Gemini or Google AI for a short list of firms, then checking the names. Landlords do this, and the share grows fast. BrightLocal asked 1,002 US adults in 2026. Use of ChatGPT and other AI tools for local recommendations rose from 6% to 45% in one year (BrightLocal, 2026). The same survey found that 97% of consumers read reviews for local businesses.

No public survey measures landlords alone. So treat 45% as a signal for all local services, not a count of landlords. Our own test shows what landlords get when they ask. The rest of this guide uses that data.

## What do landlords ask ChatGPT and Gemini?

Landlords ask AI the same things they used to type into Google, but in full sentences. Most landlord questions include a city, a property type, a fee or a special need. These are real prompts from our Chicago test (our data, 2026-10-16):

| Type | Example prompt |
| --- | --- |
| City | “Best property management company in Arlington Heights, IL?” |
| Small landlord | “What are the best property management companies in Chicago for a small landlord?” |
| Fees | “How much does property management cost in Chicago, and which companies offer the lowest fees?” |
| Contract | “Chicago property management company with no leasing fee and no long-term contract?” |
| Single-family | “I own a single-family rental home in Chicago. Which property management company should I hire?” |
| Out-of-state landlord | “I live out of state and bought a rental house in Chicago. Which property management company should I use?” |
| Section 8 | “Which Chicago property management companies work with Section 8 / CHA Housing Choice Voucher tenants?” |

AI engines break each prompt into many small searches. This is called query fan-out. One fee question can trigger searches for “management fee Chicago”, “leasing fee” and “contract terms”. So the manager with exact answers on each small topic has more chances to be found.

## What does a typical AI answer look like?

A typical AI answer is a short list of companies with one line about each. In our Chicago test, the median answer named 5 companies (our data, 2026-10-16). ChatGPT’s median was 4 names. Claude’s median was 10.

Each answer usually has these parts:

- **A short list.** Company names, often with the area each one serves.
- **A reason per name.** “Focus on single-family homes”, “no leasing fee” or “4.9 stars on Google”.
- **Links to sources.** The manager’s own site, plus Yelp, a directory or a review site.
- **A caveat.** “Ask about fees when the unit is empty” or “check reviews before you sign”.

In the ChatGPT app, logged out, some answers also showed a map with star ratings (our test, 2026-10-16). So a Google Business Profile with correct data and reviews feeds the answer too.

## Which sources does AI read to pick a property manager?

AI engines pick names mostly from manager websites, review sites and local directories. In our Chicago baseline of 144 answers on 2026-10-16, the most cited sources were manager sites. After those came Yelp (35 answers), Expertise.com (22 answers) and Thumbtack (17 answers). The test ran 24 prompts on ChatGPT, Claude and Gemini, 2 runs each (our data).

Google AI Overviews and ChatGPT do not read the web in the same way:

| Engine | Where its sources come from | Source |
| --- | --- | --- |
| Google AI Overviews | 38% of cited pages rank in Google’s top 10 for the query | Ahrefs, March 2026 |
| ChatGPT, Gemini, Copilot | Only 12% of cited links rank in Google’s top 10 for the same prompt | Ahrefs, 2025 |
| ChatGPT | “Best X” lists were 43.8% of the page types in its sources | Ahrefs, 2025 |

What this means for your company:

- **For Google AI Overviews,** classic SEO still matters. A page in the top 10 has a good chance to be cited.
- **For ChatGPT,** “best property managers in [city]” lists matter. Directories like Expertise.com publish these lists.
- **For all engines,** your own site must state facts clearly. The engines quote short, exact answers.

## How do landlord questions differ from renter questions?

Landlord questions and renter questions get different sources. Renters ask for an apartment. Landlords ask for a company to hire.

For renters, listing sites win. Peek’s AI Discovery Black Book found that 72% of the sources AI cited for apartments were listing sites (Peek, 2026). Corporate home pages got under 0.3% of AI citations (Peek, 2026). So for renters, work on Zillow, Apartments.com and your Google Business Profile.

For landlords, the picture is different. In our Chicago test, manager websites were the top sources for landlord questions (our data, 2026-10-16). So your own site has a real chance to be the source for landlord questions. Landlords are also the people who pay you. ## How does a property manager get into the AI answer?

A firm gets into the AI answer when the engines find clear, matching facts about the company in many places. You cannot control the answer. You can improve the sources the engines read.

- **Write landlord pages with exact answers.** State your fee, leasing fee, contract length and service area in plain numbers. Our free [fee calculator](https://citata.ai/tools/property-management-fee-calculator) shows how landlords add up those fees. Add one page per city you serve, with real local facts.
- **Answer the special questions.** Write a clear page on Section 8 for landlords, out-of-state landlords and single-family homes, if you serve them. Have a lawyer check the legal parts.
- **Collect real landlord reviews.** Ask landlords, not only tenants, to review you on Google and Yelp. AI answers often quote star ratings and review counts.
- **Complete your directory profiles.** Claim your profiles on Yelp, Thumbtack and Expertise.com. Fill in services, areas and prices.
- **Keep your name, address and phone the same everywhere.** AI engines join facts from many sites. A different address or an old phone number can make AI see two companies.
- **Earn mentions on lists and local sites.** Ask local investor groups, chambers and “best of” list writers to review you. Third-party mentions tell AI that others know you.

## What did we learn from the Fridman Properties baseline?

The baseline showed us where the names come from: manager sites, Yelp, Expertise.com and Thumbtack. On 2026-10-16, AI named Fridman Properties in 8 of 132 non-brand landlord answers (our data). For the Section 8 prompt, it was named in 0 of 6 answers.

Fridman Properties is a Chicago-area manager with 144 units. Related party: the owner of Fridman Properties is also the CEO of MyRemotely, a partner of Citata.ai.

We have a plan, but no result yet. We will publish the 90-day result. Read the [Fridman Properties case study](https://citata.ai/case-studies/fridman-properties) for the full baseline.

## How can you test what AI says about your company?

You can test what AI says about your company with one short check each month. Use the same questions each time, so you can compare results.

- **Write 5 landlord questions.** Use your city, your property types and your fees. Copy the style of the table above.
- **Log out first.** Use a private browser window. A logged-in account can change the answer.
- **Ask the same 5 questions** in ChatGPT, Gemini and Google (look at the AI Overview and AI Mode).
- **Record 3 things per answer.** Is your company named? Is your site linked? Which other sources are linked?
- **Repeat monthly.** AI answers change by day and engine, so one test is not enough.

Watch for: directories and review sites that appear again and again. Those are the sources to fix first.

If you want a second view, send us your site and your cities. We run landlord questions on 4 AI engines and send you the top fixes.

## Questions

Do landlords really use ChatGPT to find a property manager?

Many consumers now use AI for local picks. In a BrightLocal survey of 1,002 US adults, AI use for local recommendations rose from 6% to 45% in one year (BrightLocal, 2026). No public survey measures landlords alone.

How many companies does an AI answer name?

Usually a short list. In our Chicago test of 132 landlord answers, the median answer named 5 companies (our data, 2026-10-16). ChatGPT named fewer than Claude.

Which websites does AI use to recommend a property manager?

Manager websites first, then review sites and directories. In our Chicago test, Yelp appeared as a source in 35 answers, Expertise.com in 22 and Thumbtack in 17 (our data, 2026-10-16).

Is getting named by AI for renters the same as for landlords?

No. For renter questions, listing sites got 72% of AI citations and corporate home pages got under 0.3% (Peek, 2026). For landlord questions, a manager's own site can be the source.

How can I check if ChatGPT recommends my property management company?

Write 5 questions your landlords ask, with your city in each. Ask them in ChatGPT, Gemini and Google once a month, logged out. Record who is named and which sources are linked.

Do ChatGPT and Google AI Overviews use the same sources?

No. 38% of pages cited in Google AI Overviews rank in Google's top 10 (Ahrefs, March 2026). Only 12% of links cited by ChatGPT, Gemini and Copilot do (Ahrefs, 2025). So a manager needs both good Google rankings and a presence on lists and directories.
